Define the closeout package before collecting its files

A sanitary weld borescope closeout record should connect an identified weld to the recorded view, the examination basis and the documented review outcome. It should also make missing coverage or unresolved references visible. The practical problem is often not a lack of images but a weak relationship between them: a folder full of numbered files, a weld log using a different naming convention and a report that summarizes several systems together. A useful package allows another reviewer to follow one weld from the controlled log to the exact evidence and back again.

This guide describes an editorial workflow for that evidence relationship. It does not supply weld acceptance criteria, determine a system's hygienic suitability or establish certification. The public contents of ASME BPE-2024 distinguish documentation, examination and other equipment requirements. Use the edition and documents actually specified for the project; a table of contents is not a substitute for their requirements. A borescope closeout report supports the responsible review process without claiming to replace the broader system documentation or qualification activities.

Fix the system boundary and drawing revision

Begin with the system, subsystem or defined work package being handed over. Record the relevant drawing identifiers and revisions, the owner or project reference and the boundary used by the weld log. If a spool belongs to one fabrication package but is installed within a larger system, retain both relationships clearly. A reviewer should not have to guess whether a report covers a complete line, a selected skid or only the welds examined during one visit. Use the actual project terminology and explain any abbreviation that is not established in the controlling records.

Changes to a drawing or system boundary can affect which weld identities appear in the package. Preserve the revision relationship rather than editing the final log to make the historical record look as though it always used the latest arrangement. If a weld number has changed, include the approved cross-reference and the source authorizing it. Where two teams have used different numbering schemes, resolve the mapping through the responsible document process before declaring the images fully reconciled. An uncertain association should remain an open item, not an invisible assumption made during report preparation.

Give every weld an identity that survives file movement

Use the controlled weld identifier as the main association between the log and the image evidence. Include the system or drawing context needed to make it unique within the delivery. A weld called W-017 may be unambiguous within one spool but ambiguous across an entire project. Keep meaningful prefixes and leading zeros intact when transferring the log through spreadsheets. If the imaging instrument creates its own file sequence, record that sequence as a file reference rather than replacing the project weld identity with it.

Evident's 2021 discussion of visual-inspection image recording illustrates associating location and weld identifiers with image files. That is a useful record-management example; its references to an older BPE edition do not establish the requirements for a current assignment. The workflow here keeps the association explicit even when different instruments or folder structures are used. Choose names that remain understandable after transfer and verify the relationship using the controlled weld log, not simply the order in which files appear in a directory.

Map the source image and any presentation copy

For each documented view, identify the original file and the reference needed to retrieve it from the approved evidence store. If the report uses an annotated, cropped or compressed copy, distinguish that presentation file from its source. Preserve the original association when a reviewer adds an arrow or explanation. An annotation can help communicate a finding, but it should not obscure which content was acquired during the examination and which was added later to explain it. Record the relationship in the image register where the project's process calls for it.

A single weld may have multiple still images, a video or several defined views. The register should explain that coverage rather than forcing every weld into one image field. If a video is the source, identify the relevant segment or time reference in a way the recipient can use with the delivered file. Avoid references that work only in a vendor's temporary session or the author's local folder. NDT Connect can record the file references and reviewed findings, but its free report editor is not a native borescope viewer or an image-measurement application.

State which views and areas were actually documented

Record the examination coverage in the language of the approved procedure and project requirements. The evidence should distinguish a complete documented examination from a selected illustrative image. A clear image of one portion of a weld does not by itself establish what other areas were viewed. If coverage is limited by access or another reported condition, retain the examiner's stated boundary and identify the associated action or review. Do not infer additional coverage from a filename or a general statement that the spool was inspected.

Use separate states for an unexamined weld, an examined weld whose evidence is missing from the delivery, and a weld with a recorded limitation. These situations need different responses. The first may require an authorized examination decision; the second may require document retrieval; the third needs review of the actual limitation. A broad incomplete label can remain useful as a dashboard summary, but the underlying row should say why it is incomplete. That explanation prevents a coordinator from asking an examiner to repeat work when the real problem is a missing file association.

Record the evaluation basis without copying an old conclusion

Identify the controlling specification, procedure, edition or revision and any project-specific instruction that supplies the evaluation basis. Where a drawing or contract names an additional requirement, retain the precise reference needed by the responsible reviewer. Do not populate a blank criterion field with an acceptance phrase copied from an unrelated job. Similar-looking sanitary welds can belong to different contracts or conditions, and a report template cannot decide which requirements apply. If the basis is unclear, the closeout table should keep that question open with an owner.

Separate the examiner's observed condition from the reported evaluation and any later disposition. The evidence may contain a finding awaiting review, a documented evaluation under the supplied basis or a subsequent authorized decision about rework. Those statements should remain attributable to their own record and responsible person. Avoid a single pass column that erases the difference. The reporting software preserves the user's entries; it does not interpret weld images, verify technical authority or create an approval merely because the author has selected an issued report status.

Preserve the examination context needed for review

Record the examination date and personnel information required by the project, together with the actual equipment and relevant configuration references supplied by the examiner. Keep these connected to the examination event rather than relying on a current equipment profile to reconstruct past conditions. If an instrument was changed during the work, the record should identify which views or welds relate to each setup where that distinction matters under the procedure. A generic equipment model in the report may be insufficient to distinguish the units used on a multi-day assignment.

The equipment tracker can help organize instrument identifiers and supporting account records. It does not establish that a particular configuration met the procedure on the examination date. Similarly, a qualification record or reminder is not a substitute for the responsible organization's review of personnel authorization. Put usable references in the report and retain the underlying evidence through the approved project process. The goal is to let a reviewer ask a specific question about a defined examination, rather than trying to infer its context from an undated image export.

Keep observations, review states and delivery states distinct

A weld log often accumulates several kinds of status as work proceeds. The examination may be complete while a reviewer still needs to resolve a finding; the technical review may be complete while the delivered image package is missing a file. A recipient needs to know which state is being reported. Use clear headings such as examination reference, evaluation reference, evidence-package status and outstanding action. The terms can be adapted to the organization, but their meanings should be explained and applied consistently throughout the closeout record.

Do not let a document-control action alter a technical conclusion. Renaming a file, confirming its receipt or moving it into a final folder does not change the reported weld condition. Conversely, a later technical disposition should not be represented only by a changed folder color or an undocumented spreadsheet cell. Reference the actual decision and preserve the required revision history. Keeping these functions separate makes the package easier to audit and helps prevent a busy coordinator from unintentionally converting an administrative complete status into a claim of technical acceptance.

Work through a fictional re-examination and filename conflict

Consider a fictional system S-12 with weld W-017 on drawing ISO-06 revision B. Its initial borescope files are IMG-0041 and IMG-0042, and the recorded finding leads to an authorized rework instruction. A later examination produces new files with the same instrument sequence names because a different device or folder was used. If both sets are copied into one folder without a controlled naming decision, one set may be confused with or overwrite the other. The closeout record needs to preserve the examination event and source-file association, not merely the short filename.

In this example, retain distinct package or event identifiers for the original and later evidence. Connect the rework instruction to W-017 and show the later examination reference separately from the initial finding. If the drawing later changes to revision C, record whether the weld's identity and location remain the same, using the responsible mapping evidence. The example does not decide acceptance or prescribe rework. It demonstrates why an image filename, a weld number and a revision each carry different information, and why all three may be needed to retrieve the correct evidence after handover.

Import the reviewed crosswalk into the free report editor

Prepare a clean Word or Excel table with columns that identify the system, weld, drawing revision, examination event, source view or video reference, reported result and outstanding action. Keep long technical explanations in their appropriate report fields or referenced documents so the table remains readable. The free digital reporting workspace lets you preview imported content and adjust the editable rows and columns. Choose the correct header row and remove template examples before entering the actual job evidence. Do not allow a decorative title row to become the result-table header.

Select the actual method description and enter the supplied procedure and specification references. The tool can generate a PDF containing the report details and result table, with company and client logos where their use is authorized. It does not automatically attach a complete borescope image archive or preserve the original Word layout exactly. Keep the source image package in the approved storage and delivery arrangement, with references that remain meaningful to the recipient. Review the PDF for readable identifiers, complete limitations and a conclusion that stays within the documented examination scope.

Reconcile the delivered image set against the weld log

Before closing the package, compare the controlled weld population with the delivered evidence index. Explain any welds outside the examination scope and any rows still awaiting evidence or review. A simple total can be useful, but it should not hide duplicate identifiers, excluded welds or repeated views of the same weld. Check the actual relationships at row level for representative records and investigate any count discrepancy. If a report summarizes a percentage or completed quantity, make its population and calculation basis visible and have the responsible author confirm it.

Then test retrieval using the delivered files, not only the working folder. Select one routine weld, one re-examined weld and one unresolved item. Confirm that the recipient can locate the right source, distinguish the examination events and find the associated review reference. Record and correct broken references through the established process. If a required viewer or access permission is part of the delivery arrangement, confirm that arrangement with the recipient. The PDF's existence alone does not establish that the supporting evidence is accessible or that the intended version was supplied.

Issue the bounded report and preserve later changes

A guest can prepare a draft PDF without registering. A verified free account can save a private numbered report and create revisions through the reporting workflow. Use the tracked report number alongside the system, weld and project references rather than encoding the entire weld log into the identifier. Before issue, check the evidence links and the stated scope, and ensure that the responsible technical review has occurred through the organization's actual process. Issuing a version in the software records the user's action; it is not an electronic signature or independent approval of the examination.

If a correction arrives after delivery, identify what changed and which report or image-register revision supersedes the earlier one. Preserve the relationship to the original source evidence and follow the agreed distribution process. A late mapping correction may matter even when the image itself has not changed, because it can alter which weld a recipient believes the evidence describes. The strongest closeout package makes that relationship explicit and leaves the next reviewer with a clear route from weld identity to source view, documented finding and responsible disposition.

Questions about this workflow

Does this guide provide ASME BPE acceptance criteria?

No. Use the actual edition and project requirements specified for the assignment. This guide explains evidence organization, not weld acceptance.

Will the reporting tool import native borescope videos?

No. It imports editable Word or Excel table content. Retain native image and video evidence separately and enter usable references in the report.

Can one image prove that every required view was examined?

Do not infer coverage from a selected image. Record the documented examination extent and any limitations under the applicable procedure.

Should re-examination images overwrite the original files?

Preserve the original evidence and distinguish later examination events through the controlled record process. Link both to the weld and authorized rework reference.
